AMTA Annual General Meeting Notice  (2011)

 The 2011 Annual General Meeting (AGM) of the Alberta Motor Transport Association will be held on Saturday, April 30, 2011 at 10:00 am, at the Rimrock Hotel, Banff, Alberta.

The order of business includes election of new members to the Association’s Board of Directors.

Three (3) Regional Directors will be elected at the Regional Meetings in April 2011.  They are the Edmonton, Southern and Northwest Directors. Each position is for a two (2) year term.  Each Member is entitled to vote for one Director in one Region.

Two (2) Directors at Large and the President Elect will be elected during the Annual General Meeting.

Candidates for these positions may be nominated from a slate prepared by the Nominating Committee or nominations may be made by Members, provided that such nominations are submitted in writing to the President of the Association, addressed to the AMTA Calgary office, no later than 4:30 p.m. on Tuesday, April 26, 2011, three (3) business days before the April 30, 2011 Annual General Meeting.

The two (2) Directors at Large candidates with the most votes are elected for a two (2) year term.

The President Elect is elected for a three (3) year term, the first year as President Elect, the second as President and the third as Past President.

The appropriate nomination forms are available below.  The date the nomination is received at the AMTA Calgary office is the receipt date.  Forms can be returned by mail, fax, or email.

Advance voting stations will be available two (2) business days prior to the AGM at the Calgary and Edmonton offices during business hours, from 8 am to 4:30 pm on April 27 and 28, 2011. Ballots will include all positions to be filled. 

Note:  for members to vote at a Regional meeting and at the Annual General Meeting, the following criteria MUST be met:

- Prior to or upon arrival at the meetings, complete a member voting form, which outlines your company information.

- As outlined under item 4.4 of the AMTA By-Laws:

A Member which is a firm, partnership or corporation must designate in writing to the Board their employee, officer or director nominee of such firm, partnership or corporation who shall be entitled to exercise the right to vote for such entity.

-  And as outlined under item 4.5 of the AMTA By-Laws:

A Member who is an individual must exercise their right to vote in person.  No Proxy votes will be accepted. Nomination Deadlines for

Edmonton Regional Director
Wednesday, April 6, 2011, 4:30 pm — Deadline for nominations to be received by the Executive Director of AMTA.
Tuesday, April 12, 2011 — the election of the Edmonton Regional Director will be held prior to the start of the Edmonton Regional Meeting, at the Quality West Harvest Inn. Polls will be open at noon. The Edmonton Regional Director is elected for a two (2) year term.

Southern Regional Director
Thursday, April 14, 2011, 4:30 pm — Deadline for nominations to be received by the Executive Director of AMTA.
Wednesday, April 20, 2011 — the election of the Southern Regional Director will be held prior to the start of the Lethbridge Regional Meeting, at the Lethbridge Lodge. Polls will be open at noon. The Southern Regional Director is elected for a two (2) year term.

North Western Regional Director
Friday, April 8, 2011, 4:30 pm — Deadline for nominations to be received by the Executive Director of AMTA.
Thursday, April 14, 2011 — the election of the North Western Regional Director will be held prior to the Grande Prairie Regional Meeting, at the Stanford Inn. Polls will be open at noon. The North Western Regional Director is elected for a two (2) year term.

PLEASE NOTE: A Calgary Regional Director is required to finish a 1-year term for the 2010-2012 term. The deadline for any nominations is to be received by the AMTA Executive Director by April 1, 2011, 4:30 pm.
Thursday, April 7, 2011 – The election of the Calgary Regional Director will be held prior to the Calgary Regional Meeting at the Blackfoot Inn. Polls will open at noon. The Calgary Regional Director will be elected to fulfill the remaining (1) year of a two (2) year term.

Director at Large and President Elect

Directors at Large and President Elect candidates shall be presented by the Nominating Committee and additional nominations may be made by Members, provided that such nominations are submitted in writing to the President of the Association, addressed to the AMTA Calgary office, no later than 4:30 pm on Tuesday, April 26, 2011, three (3) business days before the Annual General Meeting of the Alberta Motor Transport Association.

The term of office for the Regional Directors, Directors at Large and President Elect are effective as of the date of the Annual General Meeting.
